Verification and GFA in Cambridge

Cambridge verification, on a programme the state does not verify at all.

BEUDO requires third-party verification even though the Massachusetts state programme does not, and the area figure being verified starts with the Assessor rather than with Portfolio Manager.

No obligation. We will tell you if you do not need us.
What is different in Cambridge
Required Unlike the state Cambridge requires third-party verification. The Massachusetts state reporting programme does not, which is why owners assume wrongly.
The area figure Assessor covered square feet Coverage and reporting run on the Assessor living area figure, which is frequently not the gross floor area in your Portfolio Manager record.
Reconcile first Before verification Two different area numbers in one file is the most common thing a Cambridge verification surfaces. Better to find it yourself.
Timing Around the election dates Verification competes for calendar space with the configuration election and the annual hardship plan deadlines.

Dates and thresholds change. We confirm the current requirement for your specific building before anyone acts on it.

Verification is a scheduling problem before it is a technical one.

The technical work is manageable. What catches buildings out is timing, because capacity is finite, the deadline is the same date for everybody, and the buildings that call in the final weeks either pay for a rush or miss it.

Square footage is the other half. Every threshold, metric and penalty in these programmes is per square foot, so an incorrect area figure produces an incorrect position in both directions. We have seen buildings reporting themselves as worse performers than they actually were purely on a bad denominator.

Before quoting anything we screen your documents. If your drawings are good enough we say so and the job is short. If they are not, we draft the request for better documents rather than measuring around the problem.

What we need from you
Drawings with a scale
Dimension callouts and a scale bar. Marketing floor plans do not qualify.
Recorded property data
Assessor area, plats, and any prior verification. Contradictions are useful, not awkward.
Your deadline
So we can tell you honestly whether the timeline still works.
The services behind this page

How verification runs

Screening first. That step alone saves most clients a round trip.

1
Document screening
Per-document verdicts against the acceptance test, plus the ask-for-better-documents email if it is needed.
2
Scope and quote
Priced on building complexity rather than a flat rate. You get the number before we start.
3
Verify
Area verified, data reviewed, and differences documented rather than smoothed over.
4
Correct the record
Verified figures go into the benchmarking record, which is where they start affecting your position.
5
File on time
Verified filing submitted ahead of the deadline with documentation attached.
If verification slips

A filing that required verification and did not get it is not complete.

Where verification is required, the submission is unfinished without it whatever the portal shows, and discovering that after a deadline is expensive because the fix needs data and access you may no longer have easily.

The quieter cost is negotiating from numbers you cannot defend, in a programme where every consequence is priced per square foot.

Received a letter?

What a BEUDO letter usually means.

Cambridge letters tend to be about structure and dates rather than fines.

Send us the letter
Covered Property notice
The parcel has been identified as covered using the Assessor’s covered square feet, which is often not the number in your Portfolio Manager record.
Compliance year and configuration correspondence
About the alternative configuration election, hardship plans or verification. The election deadline is fixed and the choice is irreversible by default, so these letters are the ones to act on immediately.

Send us the letter itself, not a summary. We read it for the six things that decide the response: who sent it, which building and identifier it names, what period it covers, what it says you failed to do, the cure date, and whether it is a first notice or an escalation. We never quote a running penalty total, and we cure first, then talk to the regulator.

Why verification sits with us

It is a core service here rather than an add-on, and we run it across jurisdictions with different rules about who may verify.

Credentialed
Certified Energy Manager on staff, Portfolio Manager specialists, and the credentials the verification work requires.
We read the primary sources
Twenty-six jurisdictions, each with its own portal, deadline and enforcement style. We work from the ordinance, the regulator’s FAQ and the covered building list, not from last year’s memory.
One accountable partner
We are not engineers and we do not pretend to be. We manage the process, coordinate the right vendors, and own the outcome.
Built for boards
Most of our clients are condo and co-op boards and the managers who serve them. We present in plain English, on your meeting schedule.

Verification questions

No. BEUDO is a separate city obligation with its own unit of coverage, a verification requirement the state does not have, and emissions milestones. The state filing does not satisfy it.

Cambridge runs on the Assessor covered square feet, not the gross floor area in Portfolio Manager. Reconciling the two is usually the first real piece of work, and it occasionally changes whether the property is covered at all.

That depends on the independence rule that applies, and we confirm it in writing before engaging anyone rather than assuming the answer carries over from another jurisdiction.
